How does the dairy producer know that whoever performs a particular task that day will get it done correctly? Using Standard Operating Procedures (SOPs) on the farm is nothing new for some dairy producers. No matter the size of the dairy operation, adopting and following SOPs for the farm are critical to its success and profitability. Establishing criteria to perform tasks a certain way helps to ensure that job is done the same way every time. SOPs should be kept simple. They should be written and posted where the task is performed. Dairy producers may have all the best equipment, but if managed improperly those investments may not be as valuable a return as otherwise possible. Establishing SOPs helps to ensure the best possible return on investment. To develop SOPs, dairy farms should hold a meeting involving everyone who works on the farm. Determine what tasks must be completed to do each job. Discuss the procedure with everyone involved before finalizing it. The next step is to train workers by going through and demonstrating each process. Explain why procedures need to be followed exactly. Training increases the worker’s knowledge and shows that you want him or her to succeed. SOPs provide direction, improve communication, reduce training time and improve work consistency. They create a sense of teamwork, provide predictable results and help everyone focus, leading to significant performance improvements on the farm. To fully benefit from standard operating procedures, the dairy manager must commit to leading a team effort and following through by monitoring results. SOPs can be powerful tools for managing people and resources on today’s dairy farm, no matter the size of herd.
